This Privacy Policy explains how Dinamont Books, a product of Dinamont (Pty) Ltd ("we", "us", "our"), collects, uses, stores, and protects your personal information when you use the Dinamont Books application ("the App"). It is written to comply with the Protection of Personal Information Act, 2013 (POPIA).
We collect the following categories of information:
a) Account information — your full name, business name, email address, phone number, and password when you create an account. Passwords are handled by our authentication provider (Google Firebase Authentication) and are never stored by us in plain text. If you sign in with Google, we receive your name and email address from your Google account.
b) Optional "About you" information — at sign-up you may choose to tell us your gender, whether you are South African, your city or town, your province, and your race. Every one of these questions is optional and can be skipped. See Section 3 for how we treat this information.
c) Business and financial data you enter — including but not limited to customer and supplier details, quotations, invoices, purchase orders, bank statement data you upload, receipts, employee and payroll records, inventory and fixed-asset records, compliance dates, and any other business records you choose to store in the App.
d) Documents you upload — your business logo, and copies of registration certificates you choose to attach (for example CIPC, VAT, NHBRC, COIDA, UIF, PAYE, CSD, or CIDB certificates, as PDF files).
e) Receipt photos — if you scan a receipt, the photo is read on your device to pre-fill the expense details. If you save the receipt, the photo is stored with it.
f) Voice input — if you speak to Dee (the App's assistant), your device's own speech recognition service turns your speech into text. That service is provided by your device's operating system (such as Google on Android or Apple on iOS) under its own terms. We do not record or store audio.
g) Bank transaction data — only if you choose to connect a bank account through Bank Connect. Your bank login details are entered on the bank-connection provider's own secure page (Banklink or Stitch), never in the App, and we receive only your account's transaction records.
h) Subscription information — your plan, subscription status, and a payment reference from the payment provider. We do not receive or store your card number or banking passwords.
i) Device and usage information — basic technical information such as device type and app version, plus app-integrity checks (Firebase App Check) that help block fake or tampered apps, collected automatically to keep the App secure and to diagnose problems. The App contains no advertising or analytics trackers.

We do not sell your personal information to third parties, and we do not use your business data to train AI models.
Under POPIA, we process your information because it is necessary to perform our contract with you (providing the App's services), because you have consented to it (for example, by creating an account), or because we have a legitimate business interest in operating and securing the App.
Race is "special personal information" under POPIA. We process your race, and your other optional "About you" answers, only on the basis of your consent, which you give by choosing to answer those questions. These answers:
Your data is stored using Google Firebase and Google Cloud (including Firestore, Cloud Storage, Authentication, and Cloud Functions). Google may store and process data on servers located outside South Africa. Where this happens, Google maintains contractual and technical safeguards for that data. By using the App, you consent to this cross-border processing, as permitted under POPIA where appropriate safeguards are in place.

We do not share your information with advertisers, and the App does not display third-party advertising.
We keep your account and business data for as long as your account remains active. When you delete your account in the App, your business records, uploaded documents, optional "About you" answers, and sign-in account are deleted. A limited internal record of account actions (an audit trail) is kept for a period afterward, as required for legal, tax, and accounting record-keeping, after which it is deleted or anonymised. It is not accessible to anyone once your account is closed.

You can delete your whole account yourself in the App (More → Company Settings → Delete Account). To exercise any of these rights, contact us using the details in Section 10 below.
We take reasonable technical and organisational measures to protect your information, including encrypted storage and transmission, and access rules that restrict your business data and documents to your own account and the team members you invite. No system can guarantee absolute security, and you are responsible for keeping your own login credentials confidential.
The App is intended for business use by adults. We do not knowingly collect information from anyone under the age of 18.

We may update this Privacy Policy from time to time. We will notify you of material changes within the App. Continued use of the App after a change constitutes acceptance of the updated policy.
